From Receipt Capture to a Reviewable Handoff

Build a simple routine that preserves receipt images, checks extracted values and sends only the relevant records in a format the recipient can use.

A dependable receipt workflow has three checks: the image is readable, the extracted record matches it and the exported report includes the intended entries. Scan Pro Receipts, found in the Canada catalogue, describes an offline capture-and-review process with configurable exports. It provides a concrete context for the routine below.

Capture while the source is understandable

Photograph the entire receipt with the merchant, date and totals visible. Check the image before putting the paper away. Glare, a folded corner or a cropped line can make later review harder even when OCR produces some readable text.

For an imported digital receipt, keep the original file where your record process expects it. Do not substitute a screenshot of only the total if the full document contains necessary context.

Use a non-sensitive sample while learning the app. Once the workflow is clear, apply the same capture check consistently rather than relying on a later cleanup session.

Review the fields against the image

Scan Pro Receipts describes editable OCR-filled details. Compare the merchant, date, currency and total with the source. Inspect tax, tip and subtotal where they appear, paying attention to whether a value was placed in the wrong field rather than merely misread.

Leave uncertainty for a reviewer instead of guessing. If a date is ambiguous or part of the receipt is unreadable, record that limitation through the available notes or your accompanying process. A blank or flagged field is more useful than a confident invented value.

Check duplicates before filing. The same purchase can arrive as a paper receipt, an emailed copy and a downloaded PDF. Multiple source files do not necessarily represent multiple transactions.

File by an agreed reporting scope

Choose the appropriate period and category according to the process agreed with the recipient. Keep personal and work-related records separated where required, but do not let an app's default category make a substantive accounting decision for you.

Review any foreign-currency fields before combining totals. A report should make clear which values are original and which have been converted, with the relevant method available to the reviewer. Confirm current product behavior rather than assuming all exports express this identically.

Preview a small export first

Select a few reviewed records and export the format the recipient needs. The official site describes PDF, CSV and image-inclusive options. Open the resulting file outside the app and inspect the actual content.

Check the record count, selected date interval and totals against the chosen entries. In a spreadsheet, inspect dates and decimal separators before using formulas. In a PDF, make sure receipt images and captions remain readable. These are acceptance checks to perform, not results reported from a trial.

Send a bounded handoff

Include a short note explaining the period, currency context and any unresolved entries. Share only the records required for the task through an appropriate channel. Keep a copy of what was sent so a later question refers to the same version.

Finally, review the backup location and recovery process. Offline OCR does not prevent an exported file or cloud-synced backup from leaving the device. The scanner evaluation guide explains that distinction.

The routine is complete when another person can trace a questioned value back to its source and you can correct the record without reconstructing the entire month.
